Service Administrator (Support and Care)

About this role

To provide proactive and effective administration and support for the management of aspects of the regulated services.

Lead on checking compliance and quality assurance of documentation for specific designated activities.

Manage a schedule of planned and reactive maintenance.

Provide effective administration and support for all general aspects of L’Arche activities including being a point of contact for enquiries, supporting events and the development community and providing cover as required for other administrative tasks.

Organisation and administration relating to all aspects of the supported living services and community life. This could include liaising with external suppliers e.g. for the collection of waste, supporting the organisation and smooth running of community events and producing newsletters (20%).

Attend Support and Care meetings, provide guidance and advice on administrative requirements, data on compliance and quality and follow up non-compliance or quality issues with the Support and Care Leaders, and update and or escalate to the Support and Care Coordinator (20%).

Update and managea schedule of planned maintenance and health and safety compliance checks. Liaise with external suppliers to obtain quotes and agree work schedules. Arrange emergency or urgent repairs as necessary, liaising with the Houses and external suppliers (25%).

Be a point of contact for general enquiries by phone, email and in person. Line manage the Administration Assistant. Provide cover for all critical administrative tasks (including payroll) during periods of leave (15%)

Provide administration for core member financesand for other financial transactions within L’Arche Edinburgh, liaising as required with banks and the national L’Arche finance team (15%).

Support community and the development of community (5%).

L’Arche Edinburgh is a community of more than 80 people with and without learning disabilities. It is a place of belonging where people with learning disabilities can live independent, yet connected lives. We’re looking for someone to join us as our Support and Care Coordinator, a post which requires registration with the Care Inspectorate and Scottish Social Services Council (SSSC). Our services, which support 16 people with learning disabilities, are dual registered under the categories of Care at Home and Housing Support.

You will lead a small supportive team of 3 Support and Care Leaders, working across 4 localities in the Leith and Restalrig areas of Edinburgh. Together you will ensure that we provide and develop high quality person-centred care supporting the practical, social and spiritual needs of those who call L’Arche home. You will be joining us at an exciting time as we’re looking to increase choice for the people we support and explore ways that we can grow as a Community.

Main purpose of the role:

Family members of the people we support are actively involved and the Deputy Support and Care Leader works in close partnership with them.

The role will coordinate and support volunteers including their recruitment/orientation and link with local groups and volunteer networks to promote opportunities within L’Arche. You will need to be creative in the identification and development of roles that uses volunteer skills to bring friendship and other benefits to the community.

You will be a confident communicator and networker who is also proficient in MS Office. This post would suit someone who is flexible in their availability to meet with volunteers outside of typical working hours, is driven and accountable for their own workload and has a genuine enthusiasm for development of community.

The post is part-time, 7.5 hours per week which will require some office based hours.

Administrator – Business Support, HR and Training

L’Arche Edinburgh is a small charity based in Leith, Edinburgh that supports people with learning disabilities. The role will include all administration and organisation relating to the employee life cycle, such as updating the HR database, preparing information for payroll and organisation of training events. In addition to being the first point of contact for enquiries, the role will also provide administration and support for the day-to-day aspects of the services provided.

You will be proficient in MS Office, experienced in databases (both inputting and reporting from), ideally have some pay or financial processing experience and have a high level of accuracy and numeracy. This post would suit someone who is flexible in their approach to their duties, is accountable for their own workload as part of a small team, is proactive and wants to contribute their ideas and who is welcoming to all.

The post is part-time, 30 hours per week which can be worked over 4 or 5 days (for cover reasons one of the days worked must be a Friday). Office hours are generally 9AM to 5PM but there is some flexibility.

The role will lead on induction ensuring essential skills training is provided timeously, will lead on the management of internal and external training provision (including online training) and develop plans to ensure that the training delivered meets the needs of L’Arche Edinburgh and complies with all external regulatory requirements.

The Training and Formation Coordinator will be responsible for ensuring the provision of retreats, reflection opportunities and for formation in the community and spiritual dimensions of L’Arche Edinburgh. The Coordinator will also lead on the organisation and development of the support system of Accompaniment for employees and volunteers.
