Role

We have a new exciting opportunity for an Office Manager to join our Number 6 One Stop Shop Team!

The Number 6 One Stop Shop (OSS) provides free social opportunities and 1-1 advice and support on a range of issues to autistic adults living in the Lothians and Scottish Borders.

As Office Manager you will act as the first point of contact, providing a friendly and professional service to all callers and visitors. In addition you will assist in a variety of administrative duties to support the smooth and efficient operation of Number 6 OSS.

The Number 6 OSS provides services to autistic people throughout Edinburgh, Midlothian, East Lothian, West Lothian and Scottish Borders. The post holder must recognise and respond positively to the different ways people communicate. They should be kind, caring, respectful and compassionate in their communication and approach to others.

Key Duties will include:

  • Provide general administrative duties including Microsoft Office tasks, letter writing, minute taking, setting up appointments, upkeep of records, ordering stationery, mail distribution, photocopying etc;
  • Provision of a friendly and professional reception service which will involve providing in depth information on the OSS services, and guidance as required, to a variety of stakeholders, including autistic people and external professionals;
  • Compile information and the preparation of reports and prepare any required statistical information to a high professional standard. This may include reports on finance, service usage, service development or annual reviews;
  • Act as triage for the main Number 6 One Stop Shop service;
  • Manage and maintain the OSS email account and respond to general enquiry emails;
  • Act as first point of contact for Health & safety, ensuring a safe working environment for all visitors and staff;
  • Carry out Health and Safety audits, and respond appropriately;
  • Ensure the general maintenance and cleanliness of the office, arranging and overseeing any necessary repairs, including regular testing for electrical equipment and safety devices;
  • Assist with the organisation of events;
  • Maintain confidentiality at all times;

The successful candidate will be required to apply for a Basic Disclosure check from Disclosure Scotland. Autism Initiatives will cover the cost of the application.
