The role’s purpose is to provide comprehensive support delivery of a professional, customer-focused administrative service to all colleagues across CHSS.

Key responsibilities include:

  • Provide office support to individuals or teams across the organisation which is vital for the smooth running of the organisation by undertaking a variety of office administration tasks
  • Answer and direct phone calls
  • Support our banking and mail processes
  • General administrative support for all Directorates across the organisation
  • Responsible for confidential and time sensitive material
  • Meeting support, including meeting organisation, sourcing, collating & circulating papers and minute-taking
  • Organise and schedule meetings and appointments
  • Maintaining & updating databases/datasets and providing management reports
  • Assist in the preparation of regularly scheduled reports
  • Distribution and recording of all Health Information dispatched by courier
  • Organising events and training
  • Assist with Health and Safety within the office, including fire evacuations and facilities management duties

We are looking for candidates who have the following skills and experience:

  • Previous experience in a customer contact/reception role
  • Experience of planning and organising a diverse workload
  • Professional telephone manner
  • Excellent IT skills (Microsoft Word, Excel, Access and Outlook)
  • Strong inter-personal and communication skills
  • Excellent organisational skills and attention to detail
  • Willingness to work flexibly
