Role

PURPOSE OF THE POST

• To manage the HR and Administrative functions ensuring the highest levels of Admin support to the organisation.

KEY RESPONSIBILITIES

• Co-ordinate all administrative systems including the delivery of a reception service, mail system and minute taker.

• Manage paid Reception staff and manage voluntary reception staff alongside Volunteer Coordinator.

• Develop, implement, audit and improve internal administrative systems and operational procedures to ensure their effective operation

• Provide admin & IT support to the Board of Directors, CEO, Managers, employees and volunteers.

• IT system responsibilities include user management on the active server, server problem solving,/ directory and to work closely with the Finance Worker who has other IT responsibilities.

• Oversee and maintain petty cash records.

• Administer all HR records including personnel records, PVG, holidays and sickness and training logs for staff, volunteers and directors.

• Coordinate recruitment of new staff; including all paperwork and schedules.

• Liaise with external HR representatives in relation to personnel issues and maintain case files.

• Oversee suppliers of goods and services and manage the purchase of stationery/office equipment ensuring best value in accordance with the organisation’s guidelines. Maintain stationery and office supplies, liaise with office equipment suppliers and managing agents to report faults and arrange maintenance (within DWA buildings).

• Assist with the monitoring and audit arrangements across all stakeholders

• Update and maintain DWA website and liaise with website designer when creating new features.

• Ensure all relevant legislation including equal opportunities, data protection, etc. are complied with and be DWA’s data protection contact.

• Maintain and manage office security and confidentiality of records and other information

• Administer the complaints process in accordance with DWA policy and procedures

• Ensure high standards of communication and that the workforce are aware of any matters relevant to the welfare and security of refuges, staff, volunteers and service users by:

o Maintaining DWA’s communication records

o Following safety procedures

o Attending and contributing to team meetings

o Liaising and sharing information with others to ensure a holistic service is provided at all times whilst maintaining confidentiality

• Produce progress reports and action plans in respect of your area of responsibility

• Coordinate the publication of the Annual Report with CEO, Managers and Directors.

• Coordinate membership information and lead in the organisation of AGMs

• Provide a comprehensive induction programme for all staff and volunteers, ensure the relevant induction and ongoing training and guidance for staff on all aspects of administrative and IT systems and procedures.

• Maintain Staff Management module in OASIS database and be responsible for implementing new processes within OASIS across the organisation. Be organisations security contact for OASIS and resolve any issues with IT Works.

• Assist in developing, planning and Implementing DWA policies and procedures

• Update Routes to Support, a web-based accommodation vacancy facility.

• Undertake appropriate training (internal & external) under the direction of the CEO.

• Work in partnership with Scottish Women’s Aid and the wider Women’s Aid Network, contributing to local and national campaigns that further the aims of Women’s Aid.

• Represent DWA externally as required.

• Hold Membership of the PVG Scheme
