Role

Reports to:General Manager

Purpose of the Job: The Administrator will assist staff members in an administrative capacity to support the delivery of the project as a whole.

Key Tasks, Responsibilities and Activities

Administrative and Financial Duties

  1. Managing filing systems, assisting in developing and implementing new administrative systems.
  2. Work alongside Bookkeeper ensuring timely return of office finance, petty cash, and income streams from café and bike hub.
  3. Staff meeting minutes and timetabling meetings.
  4. Update social media posts.
  5. Update web content.
  6. Respond to enquiries via website and email.
  7. Control incoming correspondence and liaise with other agencies, organisations, and local groups.
  8. Assist with office budgets, recording office expenditure and individual project expenditure.
  9. Assist with the preparation of progress reports, final reports, applications, and other reporting.

Personnel and recruitment

  1. Ensure personnel files are up to date.
  2. Update organisational membership.
  3. Sourcing and promoting staff development and training.
  4. Assist with the recruitment of new staff, sometimes including training and induction.
  5. Drafting contracts.

Marketing, Events and Community Engagement

  1. Maintain accurate email and contact database.
  2. Manage internal room bookings, market events, arranging catering etc.
  3. Update social media

Skills and Abilities and Other Duties

  1. Experience of project administrative, reporting & monitoring procedures
  2. Ability to work with a wide range of users and local people.
  3. Ability to work unsupervised.
  4. Excellent IT skills in Outlook, Word, Excel & PowerPoint.
  5. Accurate record keeping.
  6. Experience of planning, organising, and delivering community projects, activities/events.
  7. Excellent time management and organisational skills.
  8. Excellent written, presentational, and verbal communication skills.
  9. Flexible, confident, self-motivated and of cheerful disposition.
  10. Ability to work under pressure; to meet targets and deal with a wide range of complex tasks simultaneously.
  11. Team player, open, friendly, positive, and participative.
  12. High level of energy and commitment.
