Event Coordinator

  • £9 per hour. Flexible, ordinarily 25 per week up to 30+ in busy periods. Shifts are to a rota and evening and weekend work will be required. Permanent.


The Melting Pot is Scotland's Centre for Social Innovation. We're an established, growing and well regarded social enterprise and charity located right in Edinburgh's city centre. Since opening in 2007, we’ve established a solid business based on hospitality, pioneered coworking and business incubation methodologies, and developed significant social impact.

We are currently recruiting for a permanent staff member to join the Collaborate Team in delivering quality events and coworking hosting services across our two central Edinburgh venues.

As part of a small team you will primarily be responsible for hosting of our public events, both at our Rose St venue and at The Studio at The Crags Centre. There is flexibility in the role for the days/times and number of shifts but we would require the successful candidate to be able to commit to 3 days (inc evenings / weekends) per week.

The ideal candidate is reliable and conscientious, with a personable, professional manner, good attention to detail and an ability to problem-solve and think on their feet. They will have experience in event coordination and sales within a hotel or venue, as well in front-facing hospitality or customer service roles. They should be comfortable working on their own as required.


  • To administer our venue hire bookings service and actively engage in sales and marketing activities for both our Rose St and The Crags Centre venues
  • To support the Collaborate team in hosting public events at our venues
  • To contribute as part of a growing team to achieve The Melting Pot’s business strategy


1. Administrating our events bookings system, including:

  • Handling and responding to enquiries (phone and online) for all The Melting Pot venues
  • Managing our booking system, updating event details as and when required
  • Actively chasing sales leads
  • Providing client quotes for events
  • Undertaking marketing and sales activities for all venues and services
  • Tracking events sales figures against budget targets and reporting to the team and line manager on a regular basis

2. Hosting events, including:

  • Setting up the room as requested by the client – this requires being able to move items of furniture unassisted
  • Liaising with the client / facilitator on the day to ensure all requirements are met
  • Servicing the event; providing catering as ordered and on time, regularly clearing the room, ensuring fresh water is always available and assisting with any queries
  • Adhering to the highest standards of health and safety and food hygiene and following The Melting Pot’s procedures in these areas
  • Responding to any additional support / service requests on the day and ensuring these are noted on the booking form for invoicing purposes
  • Re-setting the room after the event, cleaning, dish-washing, recycling and setting up for the next event as directed
  • Reporting on event including any issues, customer feedback etc and taking action where appropriate

3. Hosting reception of our coworking space.

4. Ensuring that all areas of The Melting Pot venue are kept clean, tidy and visually attractive and welcoming at all times.

5. Opening and closing (securing and alarming) The Melting Pot venues .

6. Undertake any other duties which may reasonably be required.


  • Experience in sales and event coordination within a hotel or venue
  • Experience working in hospitality in a front-facing / customer service role
  • Excellent communication and inter-personal skills
  • Confidence in working alone and troubleshooting issues efficiently and effectively
