We manage multiple society lotteries promoted by different charities supporting a wide range of causes. Since 2005, our players have raised more than £450 million for over 6,500 charities and good causes across Great Britain and internationally.

Role Summary

Charities are at the heart of the organisation and this position is crucial in helping to deliver the wide-ranging, exciting and incredible work funded by our players.

Working with the Senior Programmes Manager and Programmes Advisors you will support the work of the charities team by assisting in the administration of the trusts, the relationships with supported charities and the communication of our work both with colleagues and players. Our impact is focused on four keys areas; collaboration, capability, capacity and leverage. We are a true partner to our charities and our relationship is far more than just funding.

This year funds raised by our players for charities are anticipated to increase. With this growth comes greater responsibility. We are committed to ensuring that our players remain connected with the causes they help support. As a funder, we also remain faithful to our funding principles and ensure that we are an enlightened partner in our efforts to make the world a better place for planet and people. As a part of the Charities Team, you must be able support your direct colleagues as well as ensure that the wider team remains passionate about what we do and why we do it.

This is an exciting time in the charities team. The right candidate will have experience in administration, communications and data management, you must be able to learn quickly and be able to adapt to the demands of this role.

The Programmes Assistant will be working at the centre of multiple initiatives and projects continuously, being able to work in an environment with competing deadlines. You’ll be organised and dynamic embracing change as part of your day to day role. The role is exposed to a wide array of work, mainly focussed on the areas of International Development and Environmental impact, though you will also support work across other areas of the team too.

The successful candidate will be energised and motivated by the work PPL deliver and at times may be expected to travel in Britain.

Key Activities

  • Support the team to use Salesforce effectively, efficiently and consistently
  • Provide up to date and relevant content of supported charities for all areas of the business
  • Maintain the Trust websites to ensure content is accurate and up to date
  • Support the programmes team in the administration of the grants
  • Assist with writing first stage charity research briefs
  • Support the preparation and provision of papers required for the Board
  • Support team delivery of special projects, including organising events
  • Assist with GB/international field trip preparations
  • Support staff volunteering opportunities with supported charities
  • Organise and contribute to the delivery of the Charity Gathering and other sector events
  • Support and contribute to the delivery of the Charity Gala
  • Arrange travel and accommodation for the team as required
  • Booking and setting up meeting rooms, including refreshments as required
  • Screening phone calls, enquiries and requests
  • Take meeting minutes
  • Undertake any other admin duties as required to support the Charities Team

Experience

  • At least 1 years’ experience of working with a team in office practices and procedures
  • Computer literate, intermediate knowledge in the use of Microsoft Office and intermediate working knowledge in the use of CRM systems
  • Strong verbal and written ability
  • Strong presentation and communication skills
  • Experience of working within the charitable sector

Knowledge and Attributes

  • Highly organised and able to manage a complex workload and tight deadlines
  • Must be passionate about charities / good causes
  • Well organised with experience of implementing and using effective systems and processes to manage workloads
  • Good oral and written communication skills, able to take minutes, draft reports and correspondence and prepare presentations
  • Design new processes and documents
  • Analytical and problem-solving skills and the confidence to make decisions within the parameters defined by the Senior Programmes Manager
  • A strong team player able to work effectively with others

Additional Information

Whilst the core hours of the role will be 37.5 hours per week, worked Monday – Friday 9am – 5:30pm, working out with these hours will be required around event times, where necessary time will be given in lieu.
