Partnerships for Wellbeing: Team Assistant (Community Transport)

Partnerships for Wellbeing is an Inverness-based charity that was established in 2004. We receive funding from a variety of sources including NHS Highland, The Highland Council and the Scottish Government funded health walks agency Paths for All. Our core services include a volunteer-led wheelchair accessible community transport service for Inverness, more than a dozen volunteer-led weekly group health walks across the inner Moray Firth area and an annual Festival of Walking & Wheeling in Inverness. In addition, we also manage several smaller projects including our monthly Cheery Book Club and regular free mini-bus outings for older adults.

With the support of new 5 year grant funding from the Bank of Scotland Foundation, we intend to expand our Community Transport operating hours to include a Saturday service and additional early evening hours in summertime weekdays. To do this we are looking for an additional part-time Team Assistant.

THE ROLE

Partnerships for Wellbeing is staffed by a small team based in offices at Wells Street in Inverness. You’ll join six other part-time colleagues and report to Transport Manager Fiona MacInnes and to the General Manager Jeff Zycinski. You’ll work alongside our Administration Officer Hayley Tarbuck and another Community transport team Assistant.

You will support our Transport Manager in the booking and scheduling process. This will involve taking telephone calls from service users and matching their requests with the availability of our vehicles and volunteer drivers. You’ll be trained to use our online data management system, updating client and volunteer information, and logging the monthly tally of bookings and fares. While there is some limited scope for homeworking, this is largely an office-based role as you will need to brief our volunteer drivers as they arrive for their shifts to collect car keys and schedules. You’ll greet them again as they return from their shifts and log any payments received from our service users. You’ll also note and log any faults or issues with our fleet of five vehicles and you may be required to deposit and collect those cars at local garages for servicing and routine maintenance. You’ll liaise with local health centres and day-care centres on their appointment schedules and help in the promotion of our service through leaflet drops.

KEY SKILLS AND ATTTRIBUTES.

You’ll have good organisational and communication skills and an attention to detail. Familiarity with the city of Inverness and various road routes would be useful. As part of your day-to-day routine, you will be fielding calls from older adults who may have hearing difficulties, so a patient manner is essential. You’ll have experience in the use of basic computer software such as Word and Outlook. You’ll be trained in the use of our new scheduling and data management system. You’ll be able to drive and park Berlingo style when required to take these to local garages for routine maintenance.

CONTRACT AND HOURS

This post is offered initially as a continuing contract starting in August or September 2023.

You’ll normally work 3 days a week, 7 hours per day, on a varying rota and shift pattern which will include either an 0830 or 1030 start time and a 1630 or 1830 finish time. There is scope for flexibility in these hours, subject to discussion and mutual agreement with your line manager.

Partnerships for Wellbeing (P4W) is a small and successful charity. Our small, but dedicated and friendly team, work to improve health, wellbeing and independence for people in communities in and around the Inverness area through the delivery of health walks and community transport services.

We are looking for an ambitious, motivated and team-oriented Manager to lead and develop the charity and its activities as we adapt to the ‘new normal’.

You will be able to demonstrate excellent leadership skills, first-hand knowledge of the small charities sector, and previous success in project management, business planning and income generation.

You will support a small team of committed staff to deliver successful projects, identify new opportunities, and be able to establish relationships with a range of external partners and funders, to secure the long-term delivery of our objectives.
